Automating SOP Updates and Quality Control

Objective: The goal is to develop an automated solution to update, validate, and control the Standard Operating Procedures (SOPs) used across the operations team, ensuring accuracy and compliance with audit requirements.

Requirements:

  • Assessment Framework: Define parameters and scoring criteria to evaluate the quality of SOPs, including accuracy, completeness, and relevance of information.
  • Automated Evaluation: Develop a system to automatically assess the current (AS-IS) quality of SOPs based on the defined parameters.
  • Gap Identification: Identify gaps in the SOPs through scoring and provide actionable insights for improvement.
  • Expert Intervention: Enhance SOPs by involving experts to address identified gaps and improve documentation quality.
  • Knowledge Facilitation: Conduct knowledge sessions for team members to address specific gaps and ensure understanding.
  • Macro Automation: Automate macros that are part of the existing SOPs to streamline processes.

Expected Outcome: The desired outcome is a comprehensive system that automates the evaluation and updating of SOPs, ensuring they are accurate, complete, and compliant with audit standards. The solution should improve documentation quality and provide ongoing controls to maintain SOP integrity.

Deliverables:

  • Demonstration: A live demonstration of the automated SOP evaluation and updating system, showcasing its ability to assess and improve SOP quality.
  • Documentation: Detailed documentation covering the system’s architecture, assessment framework, and automation processes.
  • Presentation: A presentation summarizing the problem addressed, the developed solution, and its potential impact on maintaining accurate and compliant SOPs.

Note to Participants: Participants are encouraged to leverage any technology, framework, or open-source resources as required to craft their solutions. The emphasis lies on innovative problem-solving and practical application.
